Trading and technical services firms are not usually judged on creativity. They are judged on whether a procurement department can register them as a supplier without extra work — and the profile is the document that decides it.

The reader is checking a different set of things to a construction tender committee. What exactly do you supply. Which brands are you authorised for. Can you hold stock, or are you quoting on indent. What are your payment and delivery terms. Who answers the phone when something fails on site.

A profile that answers those in order gets forwarded to the person who raises the purchase order. One that opens with three pages about vision gets left in the inbox.

What goes in it

The sections that matter for this sector, in the order the reader looks for them.

What you actually supply, in their language

Product categories and ranges written the way a buyer searches for them, not as marketing groupings. A procurement officer looking for a specific material will not translate your terminology into theirs.

Brand authorisations and principal relationships

Which manufacturers you represent, at what level — authorised distributor, dealer, stockist — and for which territory. This is often the single most valuable page for a trading company, and the one most likely to be missing.

Stock, lead times and logistics

Whether you hold stock locally, typical lead times for indent orders, warehouse capability and delivery coverage. Procurement buys certainty as much as price.

Technical capability and after-sales

For technical services: what your team is qualified to install, commission, service and certify. Response times, service contracts and spare parts availability — the questions asked after the sale, answered before it.

Quality, compliance and documentation

Certificates of origin, conformity and warranty documentation, test certificates, and any ISO or authority approvals held. Trading companies live or die on paperwork; the profile should prove you produce it without being chased.

Registration and account details

Trade licence, VAT registration where held, bank details for supplier registration forms, and a named contact for quotations. Putting these in the profile removes an entire round of emails.

Common questions

We supply hundreds of products. How much detail belongs in the profile?
Categories in the profile, detail in a catalogue. The profile establishes that you are a credible supplier with the right authorisations; the catalogue answers what exactly is in stock. Trying to do both in one document produces something nobody reads.
Do we need a separate catalogue as well?
Often, yes — and it is a different document with a different life. The profile is stable for a year; the catalogue changes when the range does. We build them so they share a design system but update independently.
What makes a trading profile fail a supplier registration?
Usually a missing licence activity, no named contact for quotations, or brand claims that the principal will not confirm. The first two are fixable in the document. The third is why we only state authorisations you can evidence.
Can it be used for both government and private buyers?
One profile usually serves both, provided the compliance and documentation sections are complete. Government registration tends to demand more paperwork, so we build to that standard and the private buyers are covered by default.
